Migrate from our current Google environment to G-Suite (soon to be called Google Workspace)

We currently utilise Google heavily in our document storage and I believe the costs, whilst not significant do mount up. I am proposing that we transition to Google G-Suite for non-profits on the zero cost per user plan to reduce cost and improve productivity. Set-up takes three days and is outlined here.

Google G-Suite is transitioning to Google Workspace and the non-profit offer is still being developed which is a risk I still think is worth taking even as a mid-term proposition.

If we do decide to transition out, I do see some work but it should not be too onerous.

The Zero dollar deal per user is

  • Unlimited users with 30 GB cloud storage each

  • Professional email addresses at your nonprofit’s domain

  • Shared Drives

  • Gmail, Calendar, Drive, Docs, Google Meet, Google Chat, and more

  • Video conference for up to 100 people with Google Meet

I propose to the Board to pursue the Non-Profit G-Suite zero dollar cost version and to migrate by June 30th 2021 to reduce costs and increase productivity.

I think this sounds sensible, will help us trim down our fixed costs, and will give us some better options

This was completed in early 2020 (as per previous minutes and latest board discussion). There was some disagreement as to which domain to apply the free GSuite account to, and thus stopped there. Note that we also have a free Microsoft 365 account. Will add to next agenda
