As we grow in member numbers controlling access to hackland is becoming more difficult.. We dont really think that there are significant issues of avoiding membership but at the moment it is very difficult to track who is paid up and who should have access.
A few members not paying their fees is the difference between not making rent and being able to buy new tools and consumables to keep the space well stocked and attract new members.
Also, as the system in place is very low security, there may be some concern about leaving high value assets in the space (tools on loan). Hackland rely's on members to share tools to offer a wide range of equiptment. We want to encourage members to loan tools for long durations.
To remove the burden of chasing members to pay fees and to know who is accessing the space should any problems arise, an RFID door access has been proposed. The system is to be linked back to a service that scrapes the HL bank acount to check if members are paid up.
Currently we have a system proposed that will cost $300 dollars for hardware. Propose to use current surplus to cover this amount.

I'd prefer if we build it using stuff already available or ask for donations. But also I'm happy people are helping and keen to get things running. We don't have much funds though

I suspect most people will go in and out when the door(s) are open so tracking may not be very effective, but will be more secure than current method.

I am all for the proposal on slack (spending $300 for two magnetic door locks and some extra bits to make it safe in case of power outage). But I think we should hold our loomio discussion to higher standards: Asking for $300 for something only explained by a chat log stored on a different medium is not a good starting point for an efficient discussion. Generous application of copy paste is advised.

Yeah for testing out a new system! Thanks for all the research about potential setup. I am also looking forward to using a single object to access both spaces :) magnetic locks can be fiddly : has anyone already tested or being given direct feedback on the stuff that will be bought?

We've had a bunch of weirdness with the door and a lot of non members who just know some friend opening the space up
I suggest we make sure everyone is on slack - check who's actually paying to be a member and issue a new door code

Agree. Also make sure people know how to open and lock up. People should actively be thinking about if they are the last one when they leave. And locking up if they are.

Sounds good, I'd be happy to chip in and also help out where I can. I think a door locking system that requires each person to scan/swipe/input password each time they enter would be good. This way, the door cannot just be left unlocked for non-members to waltz in (obv we can prop the door open and have the roller door open for events and open evenings)
