Society Changes

H Helena Public Seen by 26

A thread about space admin stuff that we want to/need to change. Some of them are structural things to position us better for grant applications, some stuff around internal rules that could be improved. The aim is to close this annual general meeting by end of August.

I don't get what I'd vote for, am I voting for "A thread about space admin stuff that we want to/need to change" or voting for "this annual general meeting by end of August", or is this just a discussion?

Ah yes. sorry i wanted to first start a discussion on what people want to change. For me one topic is the official roles that an incorporated society usually has. I don’t like them and I don’t think they represent how hackland actually works. We need people that kinda officially represent hackland (for bank accounts or grant applications) but I would like to investigate with others if we can rename these positions to be more of a group of 5 with all having the same role (no president etc)

Would having one role for 5 people work legally?

That is something to find out for sure. When we first looked at it (when we put together the original rules for hackland) I think it more so suggested what the usual titles are, but I’m not 100% on that.

This is what the companies office says : "The rules must specify how officers will be appointed. Most rules provide for the election of officers at the annual general meeting. Some societies provide that the officers are appointed on a rotating basis amongst the members
The officers usually consist of a Chairperson, a Secretary and a Treasurer.."
This sounds to me that we could have a draw instead of an election of and elect a bunch of "officers" and that we can name that what we want?

Haven’t gotten around this yet though -_-

Feel free to add things that you would want to be talked about in an AGM.
Officially what we need to do is nominate members for roles (new ones or old structure) vote on that. And review and accept the financial statement

According to the NZ law , Incorporated societies are bound to follow certain guidelines and have certain positions. e.g. Chair/President, Treasurer, Secretary.
While this may be slightly restrictive, it at least provides some transparency to both members and govt. as to who is responsible for running an organisation. [in the event things go pear shaped]
If we want to run things slightly differently we can amend our rules to include more people/positions and craft this to our needs.
The incorporated society's [Hackland's] rules state how we do things, but there is no restriction on amending our rules to reflect how we do things, provided we follow the processes outlined in our rules to achieve this.
Cheers.
